Job Vacancy : Finance Assistant

We are looking for a holiday courses Finance Assistant. You will be responsible for the administration of course finances including salaries, purchasing, petty cash, staff credit cards, student pocket money and course changes. The individual must be meticulous, methodical and organised, with an aptitude for figures. The individual must be able to work in a confidential manner. The MELHC Finance Assistant will work closely with authorised signatories on the courses and the Enterprises Accountant ensuring they are kept up-to-date with current expenditure records.

This position is open to both new and returning staff.

The Holiday Courses consist of morning classroom teaching (taken by qualified teachers), followed by afternoon activities both sporting and non-sporting (taken by the activity staff) and an evening social programmes (run on a rota basis). Full day excursions (supported by the activities and pastoral staff) are on a Wednesday and half-day excursions (supported by the teaching and pastoral staff) are on a Saturday. Millfield English Language Holiday Courses are well established and many staff return year after year.

Person Specification

We are looking for an enthusiastic and energetic member of staff who has the following attributes:

  • Competent ICT skills – particularly in excel
  • Ability to work in a confidential manner
  • An eye for detail and accuracy
  • Ability to work to tight deadlines
  • Responsible and hardworking nature
  • Good communication skills with people at all levels
  • Ability to lead inset sessions for course staff
  • A Full UK Driving licence would be desirable
  • Outgoing personality
  • Enthusiasm and willingness to get involved in all aspects of summer school life

Job Description

As the Finance Assistant you will be responsible for ensuring all course expenditure is kept up-to-date. This is a responsible position where complete confidentiality must be maintained. It will include gathering weekly salary information from managers at each centre. This will ensure staff are being paid appropriately for their position with any contract changes passed onto the Enterprises Accountant. You will also need to record any deductions from the salaries for additional staff kit or unapproved expenses.

Other responsibilities will include keeping neat, accurate and up-to-date records of any purchases (goods or services) which are made by the course staff. You will need to ensure they are following the correct policy. These purchases will need to be coded appropriately for financial reporting. You will also need to keep an accurate record of petty cash and the use of staff credit card expenditure at all times.

You will be required to ensure student pocket money is passed onto the correct Residential Co-ordinator on a daily basis when necessary. Course change administration charges will also need to be recorded and submitted to accounts.

On occasions you may be required to provide staff inset on finance related functions of the course.

Induction training on how to use and run the systems will be given during induction.

The course dates for summer 2018 are Sunday 8th July - Sunday 19th August.

Attendance at all relevant meetings is compulsory.

Induction Training

Compulsory Induction training is immediately prior to the start of the course (paid pro rata).


The Finance assistant contract will be for the duration of the course. Additional setup time before the course start date maybe required (paid pro rata).

Time Off

The Finance Assistant will have one day off a week (usually a Saturday). Special requests for additional time off are considered on a case-by-case basis.


Competitive salary, free food and accommodation, plus holiday pay which is calculated at 12.07%.
